How the calculation works
Monthly time = people × selected minutes per week ÷ 60 × 46 working weeks ÷ 12. Time value = reclaimed hours × internal hourly cost. This assumes the selected tasks recur for everyone counted and the estimated savings are achieved. Time estimates are illustrative assumptions, not measured productivity gains.
Both options include all upfront costs and twelve recurring monthly charges. Ownership includes hardware, setup and twelve months of continued service, even though the minimum service term is six months. Rental has a twelve-month minimum term, billed quarterly in advance in year one. ROI = (annual time value − annual costs) ÷ annual costs. No residual hardware value is credited.
Optional extras, electricity and internal implementation work are excluded. Freed-up time does not automatically mean additional revenue or lower staff costs.
This example covers one box. Basic up to 3 and Pro up to 10 people are suggested team sizes for the calculator, not measured limits or promises of concurrent performance. Both tiers offer the same task selection. We establish whether your tasks, agent workflows and file formats are supported by your configuration in the demo.
For the same team size and tasks, we assume the same time savings on Basic and Pro. Basic then has the higher estimated ROI because it costs less. Pro supports estimates for larger teams; we do not include an unmeasured speed advantage.
What to know before getting started.
Does KI Box need internet access?
No. Models and interface run locally, including in networks without internet access. Whether optional features such as web search may use a connection is up to your IT team.
Which models can we use?
KI Box runs open models, for example from the Qwen, Mistral or Gemma families. Which models and hardware fit depends on your tasks and the number of users.
How do our documents get into KI Box?
Staff upload files directly in the chat or place them in a shared document library. The contents are prepared locally; answers point to the passage in the document.
Who can see what?
Every person has their own account. Your IT team assigns roles and groups and decides which models, assistants and documents are visible to whom.
What work does KI Box take off your hands?
We select and integrate the components, optimise the operating system, drivers and inference engine, and select and test the models. Your team receives that work as a configured system, without having to assemble the technical foundation itself.
How do you benefit from new models?
We evaluate new model versions and continuously improve the software and models. Improvements are available as tested updates. Your IT team chooses which versions to adopt and when to install them, including in offline environments.
How do updates reach an offline machine?
As signed bundles, transferred through your own update process. You decide when to install them.
How do we choose the hardware?
The number of people working at once, the models and the volume of your documents determine the configuration. We size it with you.
What does it cost?
You can rent or buy KI Box. Rental: Basic is €349 and Pro €569 per month with a 12-month minimum term, paid quarterly in advance for the first year (€1,047 or €1,707 per quarter). One-time setup and commissioning cost €1,290 or €1,990, making the initial payment €2,337 or €3,697. After 12 months, rental is billed monthly and cancellable with one month’s notice; return the box when the contract ends. Ownership: Basic costs €3,880 and Pro €5,740 upfront for hardware and setup, plus €229 or €399 per month for service with a 6-month minimum term. After that, cancel the service monthly with one month’s notice. Including the first service month, the initial payment is €4,109 or €6,139. All prices exclude VAT and are for businesses only. Optional extras and custom work are charged separately.
